Applied Generative AI and NLP: Build a Language Workflow with Exceptions
Connect document intake, permission-aware search, support drafts and bounded actions with explicit exception records, acceptance checks and recovery ownership.
Apply generative AI and NLP by connecting bounded language tasks to an owned business workflow. Separate document extraction, evidence retrieval, response drafting and external action. Each step needs an accepted output and a way to preserve incomplete or conflicting evidence. A successful text response does not establish that the corresponding business operation happened.
This article helps an operations owner and implementation lead design the handoffs for a document-heavy service request. It covers four reusable uses within one pipeline, rather than listing unrelated industry demonstrations. Deterministic checks, learned language processing, retrieval and generation can cooperate. The simplest combination that satisfies the accepted work may contain much less generation than the initial demo.

Define the business result and its completion evidence
Suppose an internal procurement desk receives supplier service requests and supporting documents. The required result is a reviewed case with the correct supplier reference, requested service, supporting evidence and next responsible owner. Payment approval and supplier-master changes remain outside the automated role. This is a fictional teaching workflow, not an Ampity customer deployment or executed account test.
Define a complete case before selecting a model. Which source establishes the supplier identity? What happens when an attachment conflicts with the request? Who can accept a missing field or reject an unsupported service? A queue marked processed can conceal incomplete business work unless these outcomes are explicit.
Preserve a stable case reference from intake through later corrections. Processing attempts and model calls are separate child records, not new business requests. That relationship helps an operator distinguish a retry from a duplicate submission and prevents a technical timeout from becoming a second downstream action.
Make document intake produce evidence, not invented fields
Check file type, integrity, permitted handling and ownership before extraction. Capture source identity, page or span references and the extraction version. Use OCR where needed, then validate fields against their expected structure and authoritative records. A valid-looking supplier reference is not evidence that the submitting party may act for that supplier.
Amazon Textract's best-practice guidance identifies input quality and use-case-sensitive confidence handling as considerations. Its confidence score does not establish that a business field is current, authorized or consistent with another document. Evaluate extraction errors on the actual layouts and languages your workflow permits.
A generative model may help interpret a free-text service description or suggest a normalized field. Retain the original evidence and mark the suggestion's status. Do not fill an absent account identifier from a plausible guess. If a field has competing readings, preserve alternatives for a reviewer who can see the relevant source, rather than hiding the disagreement inside a single output value.
Retrieve the right guidance under the current user's permissions
The case may require a service policy, supplier agreement or internal operating instruction. Retrieve only evidence permitted for the case and reader. Preserve the source revision, effective date and location supporting the proposed result. Similar wording in an obsolete document does not make it authoritative.
Evaluate retrieval separately from answer generation. One question is whether the necessary clause reached the application. Another is whether the composed recommendation accurately uses that clause. A correct-sounding answer from an unauthorized source remains a disclosure problem. A permitted but incomplete source may require clarification rather than a confident answer.
The production AI data-readiness paper owns the wider lineage, source-contract and operating foundation. This pipeline should consume that foundation rather than claim that adding a vector index repairs missing data ownership. Record which required source is unavailable and who can restore or replace it.
Draft support responses without inventing resolution
A support assistant can summarize the request, explain which evidence is missing and draft a reply grounded in the permitted case record. The draft should distinguish supplied facts, inferred interpretation and questions for the requester. It must not claim that a service was approved or completed merely because the conversation sounds resolved.
Treat attachments and retrieved text as untrusted input. OWASP's prompt-injection guidance explains that retrieved or external material can influence model behavior. RAG does not remove that risk. Enforce action permissions outside the generated answer, and test content that attempts to redirect the tool or expose another case.
Review requirements should follow consequences and evidence. A routine internal summary might become independently publishable within an accepted role after evaluation. A contractual assurance, changed bank detail or payment decision needs its own protected route. A universal low-confidence queue can miss confidently wrong responses and overwhelm reviewers with harmless variation.
Work through a disjoint intake packet
Assume a fictional batch has twelve submissions. Seven contain the required fields and consistent supporting evidence, three lack a required reference, and two repeat an existing case. These categories are stipulated and disjoint. No extraction accuracy or production-throughput result is implied.
| Intake group | Required workflow disposition |
|---|---|
| Seven complete submissions | Prepare seven cases for the declared next review, not seven approved services |
| Three missing-reference submissions | Hold three cases with the missing evidence and owner recorded |
| Two duplicates | Link to existing cases and reconcile status before any repeated action |
The intake total reconciles as 7 + 3 + 2 = 12. Counting all twelve as resolved would be wrong. Counting only the seven progressed cases would hide five exceptions. The operator needs both the source population and each current disposition, including duplicate relationships.
Now suppose a requester supplies a reference for one held case. Recheck the case's current evidence and permissions, then move that case through the appropriate gate. Do not replay the whole batch. If a document changed after a draft was prepared, invalidate the affected recommendation before sending it. The versioned case record explains what must be reviewed again.
Keep multi-step actions separate from generated intent
An agent can select a proposed next step, but the execution boundary must check the action, target, principal and current case state. A model-produced tool argument is untrusted input. Validate it and enforce the allowed operation against the actual connected system.
For consequential writes, retain an operation identity and distinguish planned, attempted, confirmed and unknown effects. If a response is lost after a case update may have committed, inspect the authoritative state through an approved readback before retrying. Where that readback is unavailable, preserve uncertainty and assign reconciliation instead of reporting either success or harmless failure.
Stopping the model prevents new suggestions; it may not cancel queued work, delivered messages or retained copies. Define how operators pause admission, find pending operations and transfer their ownership. Restoring an earlier prompt cannot undo a message already sent or a write already committed.
Handle failure conditions and exception capacity
Each exception record should identify the case and source revision, blocked decision, missing or conflicting evidence, permitted next action, owner and review deadline. Include any possible external effect and the identity needed to investigate it. Keep sensitive document contents in the approved evidence store, not copied into a general support channel.
Use a reusable checklist before accepting the workflow:
- Does every submission end in a visible disposition tied to its original reference?
- Can a reviewer inspect the evidence behind a field or proposed answer?
- Do source permissions survive retrieval, cached answers and support drafts?
- Are duplicate and uncertain-action cases reconciled before repetition?
- Can the operator stop new work without losing ownership of pending effects?
- Can the team handle the expected review queue, including an adverse spike?
Measure time per accepted case, reviewer effort, return reasons, queue age and unresolved actions alongside model usage. These indicators require declared populations and observation windows. A lower extraction cost can be outweighed by more corrections, and a high completion rate can conceal unsupported approvals if the accepted-result definition is weak.
Choose the first pipeline boundary to test
Start with an inert replay of one case type using permitted or synthetic records. Test missing pages, conflicting references, stale guidance, injected instructions, duplicate submission and a lost response after a possible write. Name the expected outcome before running each case. Do not treat a mock's successful callback as evidence that a production integration enforces the same boundary.
Use GenAI, LLM and NLP method selection when choosing the components, and the AI workforce role preparation guide when defining who will operate them. Freeze one case contract, its exception record and an accepting owner before adding another document class or action. Sources checked on 19 October 2026; the pipeline and batch are proposed examples, not compliance, legal or performance assurances.
